Case study
From paper-based inspections to one digital process
The challenge
Field inspections were largely carried out on paper. After each inspection, employees had to re-enter the collected data into Excel, scan documents and manually add everything to the correct case file. This not only created additional administrative work but also increased the risk of errors. Moreover, there was no standardized way of working across all inspectors.
BIPT therefore wanted to digitize the entire inspection process, from the initial findings in the field to the completed case file. As the organization was already using Microsoft Dynamics 365, the new solution could be built within the same platform. Qubix was brought in for its expertise in developing user-friendly canvas apps.
The solution
Qubix expanded the case management system in Microsoft Dynamics 365 and developed two mobile tablet apps for the Equitel and NCS departments. Inspectors can use the apps to register interventions and findings, add photos directly to a case file, prepare a Pro Justitia report and consult their schedules. Thanks to offline functionality, they can also work at locations without an internet connection.
Reports are generated immediately on site in Dutch or French, electronically signed and then sent by email. This eliminates duplicate data entry and scanning, reduces the risk of errors and ensures that every inspector follows the same digital workflow.
At the same time, all data is collected centrally on a single, scalable platform, enabling better reporting and providing a foundation for digitizing additional services and processes in the future.
Conclusion: With one central digital process, BIPT is making inspections more efficient, consistent and future-ready
